How the Paediatric Association of Tanzania collects, uses, and protects your personal information.

The Paediatric Association of Tanzania ("PAT", "the Association", "we", "us") is a registered society with its head office at Malik Road, West Upanga Ward, Ilala District, Dar es Salaam, Tanzania (P.O. Box 65370, Dar es Salaam). This Privacy Policy explains what personal information we collect through paed.tz and the PAT member portal, why we collect it, how it is used and protected, and the choices and rights available to you.
1. Scope
This policy covers information collected through our public website, the member portal, online membership applications and renewals, conference and event registration, abstract submission, donations, and related payment processing. It applies to prospective and current members, event registrants, authors, and visitors who contact us.
PAT is a professional association for paediatricians and allied child-health workers. This platform is not a clinical or medical records system: we do not collect, and ask that you do not submit, any patient information or health data about children through this website.
2. Information We Collect
- Identity and contact information — full name, email address, phone number, gender, and postal/region information you provide when applying for membership, registering for an event, or contacting us.
- Professional information — institution/affiliation, specialization, professional registration number, years of experience, university and graduation year, and, where relevant to your membership category, a CV, degree certificate, professional licence, or other supporting documents you upload for verification.
- Membership and event records — membership category, join and expiry dates, event registrations, abstract submissions and review outcomes, certificates issued, and attendance/check-in records (including QR-code entry scans at conferences).
- Payment information — the amount, date, method, and status of payments for membership fees, event registration, or donations, together with a transaction reference. Mobile-money and card payments are processed by AzamPay, a licensed Tanzanian payment services provider; we do not receive or store your mobile-money PIN or full card details. Where a payment is made by bank transfer, we may ask you to upload proof of payment (e.g. a bank slip); these uploads are kept behind authenticated access and are only visible to authorised finance and membership staff, never published publicly.
- Technical information — standard web server logs (IP address, browser type, pages requested) generated by visiting the site, and cookies strictly necessary to keep you signed in to the member portal.
- Communications — messages you send us through the contact form or by email.
3. How We Use Your Information
- To process membership applications, renewals, and category eligibility, and to maintain the register of members required under our Constitution.
- To register and manage attendance at PAT conferences, workshops, and events, including issuing badges, QR check-in, and certificates of attendance.
- To process and reconcile payments made through AzamPay or by bank transfer, and to issue receipts and invoices.
- To administer the abstract submission and peer-review process for conference presentations.
- To send administrative and transactional communications — for example, membership confirmations, renewal reminders, event confirmations, and payment receipts.
- To meet our statutory obligations as a registered society, including maintaining books of account and membership records that may be subject to inspection by our Board of Trustees, auditors, or the Registrar of Societies.
- To respond to enquiries submitted through the contact page.
- To maintain the security, integrity, and proper functioning of our systems.
4. Legal Basis for Processing
We process personal data on the basis of your consent (for example, when you tick the terms and conditions box on an application or registration form), the performance of a membership or event-registration arrangement with you, our legitimate interests in running the Association and keeping our systems secure, and our legal obligations as a registered society under Tanzanian law.
5. Sharing Your Information
We do not sell or rent your personal information. We share limited information with the following categories of service providers, only as necessary to operate the platform:
- AzamPay — to process mobile-money and card payments on our behalf.
- Email delivery providers — to send transactional and administrative emails (e.g. receipts, confirmations, membership reminders).
- Hosting and infrastructure providers — to host the website, application, and database securely.
We may also disclose information where required by law, to the Registrar of Societies or other competent authority, or to protect the rights, property, or safety of PAT, our members, or the public.
6. Data Security
Access to the member portal and dashboard is protected by authentication and role-based permissions, so that sensitive records — such as uploaded verification documents and proof of payment — are only visible to authorised staff, not to the public. All traffic to the site is encrypted in transit (HTTPS). No method of transmission or storage is completely secure, and we continually work to improve our safeguards.
7. Data Retention
We keep personal information for as long as necessary to fulfil the purposes described in this policy — including for as long as you remain a member or have an active portal account — and thereafter for as long as required to meet our legal, accounting, and regulatory obligations as a registered society. Where information is no longer needed, we delete it or reduce it to a form that no longer identifies you.
8. Your Rights
Consistent with Tanzania's Personal Data Protection Act, 2022, you may ask us to confirm what personal information we hold about you, request a copy of it, ask us to correct inaccurate information, request deletion of information we are not otherwise required to keep, or object to certain uses of your information. 9. Cookies
We use only the cookies strictly necessary to operate the site — principally to keep you signed in to the member portal and to maintain your session while completing a registration or payment. We do not currently use third-party advertising or analytics cookies. If that changes, we will update this policy accordingly.
10. Children's Information
While PAT's mission is child health, this website and portal are built for professional members (18 years and above) and are not directed at children. We do not knowingly collect personal information from children through this platform.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The date at the top of this page shows when it was last revised.
